Visa Procedure

  • Work Permit Application (Zezwolenie na pracę): The Polish employer applies for an official Work Permit on behalf of the applicant at the local Voivodeship Office (Urząd Wojewódzki) in Poland.

  • Work Permit Approval: Upon approval, the Voivode issues the official Polish Work Permit (Zezwolenie Typ A/D), which is sent directly to the candidate/agency.

  • VFS / Embassy Appointment Booking: The applicant schedules an official National Visa (Type D) appointment via VFS Global or the designated Embassy of the Republic of Poland.

  • In-Person Document Submission & Biometrics: On the appointment date, the candidate submits the physical file and registers biometric data (fingerprints and photo) at the VFS application center or embassy.

  • Consular Assessment: The Polish Consulate verifies the work permit authenticity, employer credibility, and applicant qualifications. Processing typically takes 15 to 30 days.

  • Visa Stamping: Upon positive decision, the candidate receives the National Visa (Type D) sticker stamped in their passport, granting single or multiple entries for up to 365 days.

Visa Fees & Administrative Charges

  • Consular National Visa (Type D) Fee: €135 (or local currency equivalent) paid at the embassy/VFS counter upon submission.

  • VFS Global Service Charge: VFS center handling fee (approx. €10–€15 depending on submission jurisdiction).

  • Official Translation Costs: Certified sworn Polish translation (Tłumacz przysięgły) fees per page for non-Polish documents.

Required Documents

  • Valid Passport: Original passport valid for at least 3 months beyond the intended return date, with at least 2 blank pages.

  • National Visa Form: Fully completed and signed Polish National Visa (Type D) application form.

  • Passport-Style Photographs: 2 recent biometric photos meeting official Polish visa specifications (3.5 x 4.5 cm, white background).

  • Original Polish Work Permit: The official Zezwolenie na pracę issued by the Voivode (Wojewoda).

  • Work Offer / Contract: Signed employment contract (Umowa o pracę) or civil mandate contract (Umowa zlecenie) provided by the Polish employer.

  • Proof of Accommodation: Lease agreement, hotel booking, or employer accommodation confirmation in Poland covering the stay.

  • Police Clearance Certificate: Issued by the applicant’s home country, legalized/apostilled, and translated into the Polish language.

  • Travel Medical Insurance: Valid insurance covering medical expenses up to €30,000 for the entire visa duration.

  • Flight Reservation: Round-trip or one-way flight itinerary to Poland.

TRC Procedure

  • Mandatory Electronic Submission via MOS: Foreign workers submit their Temporary Residence and Work Permit (Pobyt czasowy i praca) application online via the official MOS Portal (Moduł Obsługi Spraw).

  • Employer Appendix 1 (Załącznik nr 1): The Polish employer digitally completes, signs, and attaches Annex 1 confirming ongoing employment terms within the MOS system.

  • Biometric Appointment at Voivodeship Office: After electronic filing, the applicant visits the local Urząd Wojewódzki to provide original document verification, fingerprints, and passport scans.

  • Passport Stamp (Stempel Wojewody): A formal stamp is placed in the worker’s passport, legalizing their stay and work in Poland while the application is under review.

  • Administrative Decision (Decyzja): The Voivode issues a formal written residence decision (processing time ranges between 3 and 6 months).

  • Residence Card Issuance (Karta Pobytu): Upon approval and payment of stamp duty (PLN 440) plus card printing fee (PLN 100), the plastic biometric Temporary Residence Card is issued, valid for up to 3 years.
